Get your fleet set up, file your first IRP registration, and submit IFTA quarterly returns through DOCKEX.

Getting Started

Start a 14-day free trial from the homepage — no credit card, nothing to install. Enter your company info (USDOT optional) and your dashboard is ready. Want it set up with you? Book 15 minutes and we'll do it together.

  1. Start your free trial from the homepage. No credit card, nothing to install.
  2. Enter your company info — your USDOT number is optional. Add it and we auto-configure your fleet settings on first login.
  3. You're live. Add vehicles, store documents, and prepare your first filings right away.

Handy to have when you set up your fleet

  • DOT number (optional)
  • EIN (Employer Identification Number)
  • MC number (if applicable)
  • Business physical and mailing address
  • List of vehicles with VINs and gross vehicle weights

Setting Up Your Fleet Profile

After your account is activated, the first thing to complete is your fleet profile. This is the single source of truth for your organization's identity across all filings.

Your fleet profile includes:

  • Company legal name
  • DOT number
  • MC number (if applicable)
  • EIN
  • Physical address
  • Mailing address

This information populates all IRP applications and IFTA returns automatically. Enter it once and it is used everywhere. You will not re-enter it for each filing.

Your base jurisdiction is set during onboarding. Oklahoma-based operators file through the Service Oklahoma. Your base jurisdiction determines which state receives and distributes your IRP fees and IFTA returns.

Adding Vehicles

Navigate to the Vehicles section in your dashboard to add your fleet. Vehicles must be added before any IRP or IFTA filings can be prepared.

For each vehicle, you will enter:

Tip: You can add vehicles one at a time or import your entire fleet in bulk via CSV. See CSV Vehicle Import below.

CSV Vehicle Import

DOCKEX accepts a CSV file to bulk-load your fleet. This is the fastest way to get a large fleet into the platform.

Required columns

  • VIN
  • Year
  • Make
  • Model
  • GVWR (lbs)
  • Fuel Type (diesel / gasoline / other)
  • Axles

Optional columns

  • License Plate
  • Plate State
  • Registration Expiration Date
  • Notes

Download a sample template from the fleet dashboard under the Import tab. The template includes column headers and an example row.

The importer will flag any rows with missing or invalid data before saving. You can review and correct errors without losing progress on valid rows.

Maximum 500 vehicles per import batch.

Filing an IRP Registration

IRP apportioned registrations allow your vehicles to operate across all member jurisdictions under a single registration credential issued by your base state.

  1. Go to Filings → New IRP Application.
  2. Select the vehicles to include in the registration.
  3. Enter jurisdiction mileage data for each vehicle. Prior-year miles per jurisdiction, or estimated miles for new operations.
  4. DOCKEX calculates apportioned fees per jurisdiction and prepares the complete Schedule A and Schedule B automatically.
  5. Review all data and make any corrections before finalizing.
  6. Submit through the platform or download the completed filing for manual submission.

Track the status of each filing in the Filings dashboard. All submissions and their underlying data are retained in your account.

Filing an IFTA Quarterly Return

IFTA returns are due four times a year. DOCKEX pre-populates your return from the mileage and fuel data in your fleet records, so most of the work is done before you open the form.

  1. Go to Filings → IFTA → New Return.
  2. Select the reporting quarter.
  3. Review the pre-populated mileage and fuel data pulled from your fleet records. Make corrections if needed.
  4. DOCKEX applies current-quarter IFTA tax rates to calculate net tax due or refundable per jurisdiction.
  5. Review and confirm the totals, then generate your completed return.

Filing deadlines are also displayed in your Compliance Calendar.

Compliance Calendar

Your dashboard includes a Compliance Calendar showing all upcoming deadlines relevant to your fleet:

  • IRP registration renewal dates
  • IFTA quarterly return deadlines (Jan 31, Apr 30, Jul 31, Oct 31)
  • Other compliance milestones tracked for your fleet

Email reminders are sent automatically before each deadline so you have time to prepare and review your data before the due date.

Exporting Records

All data in your DOCKEX account can be exported for your own records or for submission to auditors.

PDF exports

All completed returns and IRP filings can be exported as PDF, formatted for submission to jurisdictional auditors or for your internal records.

CSV exports

Vehicle records, mileage logs, and fuel purchase data can be exported as CSV for use in external systems or for your own backup.
